The case workflow a migration agency runs to take an Australian visa case from first contact all the way to a lodged, decided application.

A GetPost Labs build, no longer actively developed. Kept here as a worked example of how we model a staged, multi-party workflow.

The problem

A visa case runs for months across an agency, its client, and often a partner organisation. Without defined stages, everyone loses track of what is needed next — documents sit half-collected, agreements go unsigned, and the agency spends its day answering "where are we up to?" instead of progressing cases.

What we built

Built on Atlassian Jira Work Management, Jira Service Desk and Confluence, integrated with Microsoft Teams, Outlook and OneDrive — every case moves through defined stages and statuses with automated notifications at each step, so agents, staff, partners and clients always know exactly what is needed next, in one secure, centralised place.

Step 1

Registration → Consultation

Onboard the client and partners, then gather everything the case needs through guided sessions.

Step 2

Agreement → Data Collection

Auto-generate Form 956 and the service agreement, capture signature and payment, then work a visa-specific document checklist.

Step 3

Drafting → Finalization

Draft through review loops, lodge with DOHA, and manage the outcome to a decision.
