QualiTrans: Student Management, Credit Transfer & RPL
How GetPost Labs would build the credit transfer and RPL team's workflow: applications matched to past decisions and evidence gathered by AI agents, unit and student-record checks held by rules, and every credit and RPL outcome decided by a qualified assessor. The student record and audit trail are kept on the same file.
Executive Summary
The Problem: Every credit transfer or RPL application means reading a transcript or a pile of workplace evidence, finding whether the same prior study has been assessed before, mapping it to the units, and recording the outcome in a way an auditor will accept. The precedents sit in a database or a spreadsheet, the evidence in email attachments and the outcome in the student management system, so each application is assembled by hand.
The Solution: QualiTrans gives the precedent search and evidence mapping to AI agents, keeps the student-identifier, unit-equivalence and record-keeping checks as fixed rules in software, and leaves every credit and RPL decision with a qualified assessor. The application, evidence, decision and student record sit on one file.
The Outcome: Assessors spend their time on the judgement calls instead of searching for precedents, students get consistent outcomes, and each decision keeps its own audit trail.
The Challenge
Understanding the problem space
"Manage the implementation and maintenance of the credit precedent database"
— A duty listed in a current Australian credit transfer & RPL team leader job ad (SEEK, September 2026)
Credit decisions and compliant records are the core of the work. Across 7 current RTO and university credit, RPL and compliance ads, the same duties come up again and again: assess credit transfer and RPL applications, keep the precedent database current, maintain student records and enrolments, run internal audits and meet the standards set by ASQA or TEQSA.
Most of that work is cross-checking information that already exists somewhere else — the student's transcript, earlier decisions for the same qualification, the unit requirements, the enrolment in aXcelerate or the student management system. When it lives across a database, email and a spreadsheet, every application is assembled by hand, and one inconsistent decision or missing piece of evidence is exactly what an audit picks up.

Core Capabilities
Where the Time Comes Back
Assessing, not searching
The credit and RPL team stops assembling each application by hand and starts assessing what the agent has prepared:
Precedent Search
Search the precedent spreadsheet by course name, then by institution, then ask a colleague whether it has come up before.
The agent shows the earlier decisions for the same prior study and how they were reasoned. The assessor starts from there.
RPL Evidence
Read through the student's evidence pack and map each document to the unit requirements by hand.
The agent has mapped the evidence to each requirement and listed the gaps. The assessor judges the evidence, not the filing.
Student Records & Audit
Enter the outcome in the student management system, file the evidence somewhere else, and rebuild the trail when the auditor asks.
A rule records the outcome against the student and units, keeps the evidence and reasons with it, and adds it to the precedents.

The business process modelled
Credit Application: Lodged to Recorded
User Journey
A Credit Application, Lodged to Recorded
Scenario: A registered training organisation receives a credit transfer and RPL application from a new diploma student who has a certificate from another provider and several years' work experience.
Uploads their earlier certificate and transcript, a résumé and a letter from their employer through the student portal
Verifies the student identifier, checks which prior units are listed as equivalent to current ones, and confirms the application is complete
Finds earlier decisions for the same certificate from the same provider and shows how they were decided
Maps the work evidence to the RPL units and lists what is missing for one unit
Grants credit for the equivalent units, grants RPL for two others, and asks the student for more evidence on the last one
Drafts the outcome letter and the updated study plan. The assessor approves it and it goes to the student
Outcomes recorded against the student and units, evidence and reasons kept with them, and the decision added to the precedent database
Outcome: The student gets a consistent outcome with every check, piece of evidence and decision on one record. The agent prepared it; the assessor decided it.
