FarmManager: Livestock Reconciliation, NVD & NLIS Records
How GetPost Labs would build the livestock administrator's workflow: kill sheets, invoices and freight charges read and reconciled by AI agents, NVD and NLIS record checks held as fixed rules, and every discrepancy resolved by your administrator.
Executive Summary
The Problem: Every week the livestock administrator matches kill sheets, market purchases, freight charges and invoices, then chases the head counts and prices that don't line up. NVDs and NLIS movements sit in separate systems and folders, so the same mob is recorded several times and checked by hand.
The Solution: FarmManager gives the reading and matching to AI agents, keeps NVD and NLIS record checks as fixed rules in software, and leaves every discrepancy with the livestock administrator. Each purchase or sale keeps its NVD, NLIS movement, kill sheet and invoices together.
The Outcome: The administrator works through flagged discrepancies instead of re-keying every kill sheet, and each mob has one record from purchase to payment — ready when a buyer or an auditor asks.
The Challenge
Understanding the problem space
"Investigate and resolve discrepancies between invoices, purchase records, and processing data"
— A duty listed in a current Australian livestock administration officer job ad (SEEK, September 2026)
Reconciling is the core of the role. Across 8 current livestock and farm administration ads, the same duties come up: create and check kill sheets, reconcile livestock purchases, market buys and transport charges, keep transaction records up to date, and enter data into livestock systems, accounting software and spreadsheets.
Most of that work is matching information that already exists somewhere else — the processor's kill sheet, the livestock agent's invoice, the carrier's freight charge, the NVD that travelled with the mob. When it lives across email, the livestock system and a spreadsheet, every reconciliation is done by hand, and a head count that doesn't match can leave the NLIS record and the accounts out of step.

Core Capabilities
Where the Time Comes Back
Checking, not re-keying
The livestock administrator stops reconciling every line by hand and starts reviewing what the agent has flagged:
Kill Sheets & Invoices
Open the kill sheet, the purchase record and the invoice side by side. Re-key head counts and weights into a spreadsheet and check each line by eye.
The agent has already matched each line and flagged the ones that don't agree. The administrator checks those, not the whole sheet.
Freight & Charges
Freight invoices arrive separately and are matched to loads from memory and the carrier's paperwork.
The agent matches each freight charge to its load and purchase, and flags any charge without a matching movement.
NVD & NLIS
NVDs in a folder, NLIS movements in a separate login, and no easy way to see which mob is missing what.
A rule checks every purchase and sale for its NVD and NLIS movement before it can close, and lists anything missing for the administrator.

Livestock Purchase: Kill Sheet to Reconciled
User Journey
A Livestock Purchase, Kill Sheet to Reconciled
Scenario: End of week at a Queensland meat processor. Cattle bought at the saleyard earlier in the week have been processed, and the kill sheet, the livestock agent's invoice and the carrier's freight charge are all in.
The invoice, freight charge and NVD for the consignment arrive by email; the kill sheet comes from the processing floor
Reads the kill sheet, invoice, freight charge and NVD into one purchase record
Confirms the NVD is on file for the consignment and the NLIS movement is recorded for every tag on the kill sheet
Matches head count, weights and price across the documents. Flags that the invoice shows one more head than the kill sheet
Calls the livestock agent, confirms one head went on a later consignment, and asks for an adjusted invoice
Signs off the reconciled purchase for payment once the adjusted invoice arrives
The purchase closes only when the NVD, NLIS movement, kill sheet and invoice all agree. Everything kept on one record
Outcome: The purchase is reconciled with every document, flag and decision on one record. The agent did the matching; the administrator made the call.
